Privacy Policy

Last updated: September 2026. Draft — pending attorney review before public launch.

This Privacy Policy explains how Northgate Automation, LLC ("we," "us") collects, uses, and protects information when you visit this website, contact us, or interact with a phone line, text message, or other automation we operate for a business client.

Information we collect

Depending on how you interact with us, we may collect:

  • Your name, business name, phone number, email address, and message when you submit our contact form or email us
  • When you call or text a business that uses our phone or messaging automation: your name and phone number, the service details you provide (for example, the type of issue you're describing), and a recording and text transcript of the call
  • When we provide services to a client: business records the client gives us access to so we can do the work, such as customer and job records, quotes, invoices, supplier documents, and rebate or warranty paperwork
  • Access details for the client's software and online portals that the client authorizes us to use

How we use information

We use information to respond to your inquiry, to provide the services a client has engaged us to perform, and to run, monitor, and fix those services. When we handle a client's customer or business records, we do so on that client's behalf and for the purposes of their engagement with us.

We use client access details only for the work the client has authorized. [credential handling and storage practices to be confirmed before launch]

How we use SMS and call information

If you call a number answered by our service and we're unable to connect you immediately, we may send you a text message to follow up on your call ("missed-call text-back"). SMS and call information is used only to respond to your inquiry and to help the business you contacted follow up with you. We do not use this information for marketing text messages you haven't asked for, and we do not sell or share your phone number or call information with third parties beyond the vendors necessary to operate this service (for example, our telephony and AI voice providers).

Retention

Call recordings, transcripts, contact information, and client records are retained for as long as reasonably necessary to provide the service, support the business you contacted, and maintain accurate service records — 6 months — after which they are deleted or de-identified.

Your choices

You can ask that we delete your information or stop contacting you at any time by emailing hello@northgateautomationllc.com with your name and phone number. We'll confirm once your request has been processed. If you are a customer of one of our clients, you may also contact that business directly.

Safety and emergency calls

Where we provide AI phone answering, the service is designed to route anything that sounds like a breakdown, safety issue, or emergency directly to a person or to 911. It does not make safety decisions on its own.

Third-party service providers

We use third-party providers (such as telephony, AI voice, SMS, and cloud software platforms) to operate our services. These providers process data on our behalf and are not permitted to use it for their own purposes.
