Automation for Metro Detroit trades
The paperwork behind the work, handled.
Northgate builds automations for HVAC, plumbing, electrical, auto repair and other Metro Detroit trades. We handle everything from the call that comes in after hours to the rebate form nobody wants to file, and we build it around the software you already run.

- Contractors
Front office
Every call answered. Every quote followed up.
The customer-facing work that slips when everyone is out on jobs.
-
AI receptionist
Answers calls around the clock using your services, hours and service area. It books jobs, takes details and transfers to a person when needed.
-
Missed-call text-back
When a call goes unanswered, the caller gets a text within seconds, and the lead is logged before they call the next shop.
-
Appointment reminders
Confirmations and reminders by text or email, with reply-to-confirm or reschedule that updates your calendar.
-
Review requests
A review request after every completed job, sent to every customer and set up to follow Google’s and the FTC’s rules.
-
Quote & lead follow-up
Open estimates and new inquiries followed up on a schedule, stopping automatically once the job is booked.
-
Customer re-engagement
Seasonal tune-up and service-interval reminders that bring past customers back, timed from their job history.
Back office
The work your software leaves on someone’s desk.
Each one starts as a single workflow. We build it, test it on your real records, and keep it running.
-
Rebate & incentive filing
Utility and manufacturer rebates filed from your job records before the deadline, then tracked until they pay out.
-
Commercial portal invoicing
Work orders, check-ins and invoices entered in property-manager and national-account portals, so commercial jobs get paid on time.
-
Supplier invoices to QuickBooks
Supplier bills read and entered automatically. Anything that doesn’t match comes to you for review instead of going straight into the books.
-
True job costing
Field software, payroll and fuel-card data combined into one number per job, so you can see which jobs actually make money.
-
Deadlines & renewals
Warranty registrations, permit and inspection status, licenses and insurance certificates tracked, with a warning before anything lapses.
-
Setup & migration
Paper and spreadsheet records moved into your field software, with the features you’re already paying for switched on and set up properly.
What you already own
Already paying for it? We’ll turn it on.
Some field software includes reminders, review requests or quote follow-ups, often only on higher-priced plans. If yours does, we set it up properly. If it doesn’t, we build it. Either way, we connect it to the places your software can’t reach.
- Between systems
- When the job lives in one app, the bill in another and payroll in a third, someone copies data between them by hand. We connect them.
- In portals
- Utility, municipal and commercial-client websites with no integration. We handle the clicking, typing and uploading.
- On paper
- Scanned invoices, PDFs and forms get read, checked and entered automatically. When something doesn’t add up, a person reviews it.
How it works
Four steps, starting with the person who does the paperwork.
-
01 — Walkthrough
We sit with whoever handles the office work and watch how the job gets done today, workarounds included.
-
02 — Map
You get a written plan showing what’s worth automating, what isn’t, and the hours or dollars behind each.
-
03 — Build
We connect your tools and test on real records, and you approve before anything goes live.
-
04 — Run
We watch it every day, fix it when a portal changes, and send you a short report each month.

Questions
What owners ask first.
Do I have to switch software?
No. We build around what you already use, whether that’s Jobber, Housecall Pro, ServiceTitan, Tekmetric, QuickBooks or a spreadsheet.
What happens when a website or portal changes?
It will happen eventually. The care plan covers monitoring and fixes, so you’ll hear from us before a missed filing becomes a problem.
Is this AI?
Sometimes. Reading a scanned invoice or form uses AI; most of the rest is plain, predictable automation. We use whichever is more reliable for the job.
What does the AI receptionist do in an emergency?
It never diagnoses a problem, quotes a repair, or makes a safety judgment call. Anything that sounds like a breakdown or safety issue is routed straight to your team or 911.
How do you handle text message consent?
Texts only go to customers who have agreed to receive them from your business. We help you set up the opt-in wording, honor STOP replies right away, and register your sending number with the carriers so your messages get delivered.
Who can see my data?
We only use the accounts you give us access to, and only for the workflows we build. You can revoke access at any time.
How long does a build take?
It depends on the workflow and your systems. You’ll get a timeline in the written plan before you commit to anything.
Do you only work in Metro Detroit?
That’s where we start. We know the local rebate programs and permit portals, and we can meet you at your shop.
